Job Description
The Program Coordinator is an integral part of the Office of Graduate and Postdoctoral Affairs team and works closely with the Director of Diversity Programs and other staff to execute high quality programming. The Program Coordinator contributes to a variety of initiatives intended to attract and foster the success of graduate students and postdoctoral scholars who are underrepresented in their fields. The Program Coordinator serves as the first point of contact for diversity affinity groups for graduate students, professional students, and postdoctoral scholars. They work with the Director of Diversity Programs to advise affinity groups and respond to inquiries for students interested in summer research programs at the University of Virginia. The Program Coordinator also contributes to the Office’s efforts to collect, analyze and disseminate data associated with the educational experiences and career outcomes of graduate students and postdoctoral researchers.
Specific duties of the role include:
Assist the Director of Diversity Programs in the preparation of budgetary, programmatic and assessment reports
Manage outreach and marketing efforts to university and off-campus communities including office brochures, newsletter, social media, website and other web-based materials and platforms.
Support summer undergraduate research opportunities coordinated through the office, including; assist with travel arrangements; coordinate housing, stipend payments, etc. for visiting students; develop, coordinate and implement programming schedules, social events, and opportunities in support of students’ research; coordinate and communicate with program faculty and external partners.
Participate in recruitment events and represent the office at internal and external business meetings, as needed
Support the activities of diversity-related graduate student and postdoctoral groups
Assist with planning and execution of events such as an annual doctoral diversity dinner
Provide administrative support for the Director of Diversity Programs, as needed, including scheduling, expense reimbursements, account reconciliation, etc.

The program coordinator must possess excellent communication, leadership, interpersonal, and organization skills; a strong desire to work with undergraduate and graduate students, postdocs, faculty and administrators from a wide range of fields across the University; and a strong desire to work as part of a team. The Program Coordinator will also be proficient with the collection and curation of data related to graduate and postdoctoral career outcomes, and the academic matriculation status of graduate students, including knowledge in the use of spreadsheets and creation of online forms and surveys in Qualtrics. The Program Coordinator will also develop a comprehensive understanding of relevant departmental and university policies and procedures; budget verification and analysis; spreadsheets and how to manage basic data.
Minimum Qualifications:
High School Diploma
Six years of experience. Bachelor's degree may substitute for experience.
Demonstrated experience in the delivery of educational programs and events or project management in a higher education setting
Excellent communication and organizational skills
Demonstrated ability to work successfully with diverse teams on complex and potentially sensitive issues.
Preferred Qualifications:
Experience and knowledge of multicultural and diversity programming aimed at improving work and learning climates for students, staff, and faculty
Experience with graphic design, social media administration and/or web development.
Proficiency in the use of Qualtrics in the creation and use of surveys and online forms.
Demonstrated commitment to diversity and inclusion issues.
This position is Hybrid located in Charlottesville, VA.
Anticipated Hiring Range: $50,000 - $55,000 commensurate with education and experience.
